How to Fix Wave Direct Deposit Error

A direct deposit fails, a payment is returned, or employees are not paid on the date you expected. Payroll ran, the money did not arrive.

At QuickFix Bookkeeping, the single biggest cause is missing the approval cut-off. Wave direct deposit is not instant. Payroll must be approved several business days before payday, and a run approved late simply pays late. It is not a fault, it is a deadline you missed.

What Causes This

Missed the cut-off

Payroll approved too close to payday. Direct deposit needs several business days to clear.

Bank details wrong

A wrong routing or account number returns the payment days later, not immediately.

Insufficient funds

The business account lacked the funds when Wave debited it, so the whole run fails.

Verification incomplete

The business bank account was never fully verified, so payroll cannot debit it.

How to Fix It

Open your payroll run and check the date you approved it, not the date you created it. An unapproved payroll does not process at all.

Direct deposit requires several business days between approval and payday. Weekends and bank holidays do not count, which is why a Friday approval for a Monday payday fails.

For future runs, approve payroll well ahead of the cut-off. Set a calendar reminder rather than relying on memory.

A returned deposit almost always means a wrong routing or account number. Open the employee profile and check the direct deposit details digit by digit against a voided cheque.

A returned payment can take several business days to bounce back, so the employee is left unpaid in the meantime. Once corrected, pay them by cheque or a manual transfer for that period rather than waiting for a re-run.

Wave debits your business account to fund the payroll. If the funds were not there on the debit date, the entire run fails, not just one employee.

Confirm your business bank account is fully verified in Wave. An account that was connected but never verified cannot be debited, and this is easy to miss during setup.

Wave payroll with direct deposit is only available in certain regions. If you cannot find the direct deposit option at all, it may not be supported for your location, and you will need to pay by cheque or manual transfer. Check Wave's current regional coverage before assuming it is broken.

Tell the Employee Early

A failed direct deposit is a payroll failure, and employees notice immediately. The moment you know a payment has failed, tell them and arrange an alternative rather than waiting to see if it resolves itself. A returned payment can take days to come back, and by then the trust damage is done.
