What Causes QuickBooks Error PS036?

Incorrect Service Key or EIN

Most common - service key or EIN in the company file does not match the payroll account at Intuit. Verify both in Employees > My Payroll Service > Manage Service Key.

Corrupted Paysub.INI File

The hidden Paysub.INI file storing payroll subscription data is damaged. QB cannot read the subscription information needed to validate. Renaming forces QB to recreate it.

Multiple Agreements - Inactive Direct Deposit

Unique to PS036 - multiple active payroll agreements with at least one inactive Direct Deposit settlement. Intuit support must resolve this. Do not proceed with standard fixes if you use Direct Deposit.

Corrupted CPS Folder

Damaged payroll component files in the CPS folder block the update. Renaming it forces QB to create a fresh copy. Shared with PS032 - Paysub.INI is the more PS036-specific cause.

Inactive Subscription

Subscription lapsed due to missed renewal or failed payment. Check the Account Management Portal directly to confirm active status - PS036 can appear even when billing looks current.

Invalid EIN in Service Keys

The Service Keys screen shows "Invalid number or EIN". The EIN in the company file does not match the EIN registered with the payroll subscription. Correcting the EIN resolves this variant.

How to Fix QuickBooks Payroll Error PS036

Direct Deposit users: contact Intuit first (Method 6). All others: start with Method 1.

METHOD 1 Verify Service Key and Subscription Status Do this first

An incorrect service key or "Invalid number or EIN" status is the most common PS036 cause.

Employees > My Payroll Service > Manage Service Key. Confirm Status shows Active. If it shows "Invalid number or EIN" go to Method 3 first.

Click Edit. Confirm service key number is correct. Click Next > uncheck Open Payroll Setup > Finish. This triggers a fresh payroll download.

Also check at portal: Employees > My Payroll Service > Account/Billing Information. Confirm subscription shows Active with correct EIN.

METHOD 2 Rename the Paysub.INI File PS036-specific fix

Paysub.INI stores payroll subscription data. If corrupted, QB cannot verify even when the service key is correct. This file is hidden by default in Windows.

Close QuickBooks. Open File Explorer > View tab > check Hidden items.

Windows + R > type C:\ProgramData\Intuit\QuickBooks [Year]\ > Enter. Find Paysub.INI. Right-click > Rename > add .old.

Reopen QuickBooks. QB creates fresh Paysub.INI. Go to Employees > Get Payroll Updates > Download Entire Update. If update completes - Paysub.INI was the cause.

METHOD 3 Correct the EIN in Company Information Service Keys shows "Invalid number or EIN"

The EIN in the company file does not match the EIN linked to the payroll subscription at Intuit.

At the Account Management Portal (Employees > My Payroll Service > Account/Billing Information) - note the exact EIN on the payroll subscription.

Company > Company Information. Confirm the Federal Employer ID Number matches exactly - including leading zeros. Correct if different. Save and retry the payroll update.

METHOD 4 Rename the CPS Folder Service key correct - CPS folder damaged

If service key and EIN are correct and Paysub.INI rename did not resolve it, the CPS folder may have damaged component files.

Close QuickBooks. Navigate to C:\Program Files (x86)\Intuit\QuickBooks [Year]\Components\Payroll. Right-click CPS folder > Rename > change to CPS.old.

Reopen QuickBooks > Employees > Get Payroll Updates > Download Entire Update > Update. QB creates a fresh CPS folder with all payroll component files from scratch.

METHOD 5 Update QuickBooks and Run Quick Fix My Program After QB version upgrade

PS036 commonly appears after upgrading QB Desktop. Updating to the latest release and running Quick Fix My Program resolves program-level conflicts.

Right-click QB > Run as Administrator > Help > Update QuickBooks Desktop > Reset Update > Get Updates. Restart QB when prompted.
