How to Fix QuickBooks Condense Data Error

QuickBooks displays an error during the Condense Data process -- "Condense was unable to complete" or the condense runs but the file size barely reduces.

At QuickFix Bookkeeping, Condense Data errors are caused by data integrity errors in the company file (Condense requires a clean file), transactions with open purchase orders or estimates that prevent archiving, or running Condense in multi-user mode. Condense must always be run in single-user mode after a successful Verify.

METHOD 1Verify and Rebuild Before CondensingRequired pre-condense step

File and gt; Switch to Single-user Mode and gt; File and gt; Utilities and gt; Verify Data. If any errors are found: Utilities and gt; Rebuild Data and gt; run until Verify shows zero errors. Only then attempt Condense -- it cannot complete on a file with data integrity problems.

Back up first: File and gt; Back Up Company and gt; Create Local Backup and gt; confirm backup completes successfully before starting Condense. If Condense fails mid-run, the backup is your recovery point.

METHOD 2Close Open Transactions Before CondensingOpen POs or estimates blocking condense

Reports and gt; Purchases and gt; Open Purchase Orders and gt; close or convert any POs dated before your condense cutoff date. Also: Reports and gt; Sales and gt; Open Estimates and gt; close any estimates before the cutoff. Condense cannot archive transactions that have linked open documents -- closing them allows Condense to proceed.

METHOD 3Use "Remove Audit Trail Only" OptionFull condense failing -- partial reduction

File and gt; Utilities and gt; Condense Data and gt; select "Remove transactions before a specific date" and gt; also check "Remove audit trail information to the date" only (without archiving transactions). This reduces file size by stripping the audit trail -- a safer operation that is less likely to error than a full condense. Typical size reduction: 15-30%.
