How to Fix QuickBooks Chart of Accounts Errors

QuickBooks chart of accounts has errors -- duplicate accounts, accounts in the wrong type, missing required accounts, or transactions posting to the wrong accounts causing incorrect financial reports.

Change account type: Lists and gt; Chart of Accounts and gt; find the account and gt; right-click and gt; Edit Account and gt; change the Account Type and gt; Save. QB will warn if changing the type affects reports -- confirm and proceed.

Recode existing transactions: if transactions have already been posted to the wrong account, run a report filtered to that account and gt; recode each transaction to the correct account. Edit and gt; Find/Replace can recode multiple transactions at once if on the same account.

To merge duplicates: rename the account you want to eliminate to exactly the same name as the account you want to keep and gt; QB will ask if you want to merge them and gt; click Yes. All transactions from the eliminated account move to the keeper account automatically. Note: merging cannot be undone -- verify the account names are correct before confirming.

QB does not allow deleting accounts that have transactions. Instead: Lists and gt; Chart of Accounts and gt; right-click the account and gt; Make Inactive. Inactive accounts are hidden from transaction dropdowns but remain in historical reports. This cleans up the chart without affecting historical data.
