How to Fix QuickBooks Bank Reconciliation Locked

QuickBooks reconciliation is locked -- cleared transactions cannot be unchecked, a prior reconciliation cannot be undone, or QB shows "This period has been closed" when trying to edit reconciled transactions.

At QuickFix Bookkeeping, reconciliation locks come from two sources: a closing date password set in QB preferences that prevents editing transactions before the close date, or the Accountant's Copy restriction blocking changes before the dividing date. Each has a specific unlock method.

How to Fix QuickBooks Reconciliation Locked

METHOD 1Remove or Enter the Closing Date PasswordClosing date is blocking edits
1

Check closing date: Edit and gt; Preferences and gt; Accounting and gt; Company Preferences and gt; note the Closing Date. If a closing date is set, QB prompts for a password before allowing changes to transactions on or before that date.

2

Enter password or remove close date: if you know the closing date password -- enter it when prompted and edit the transaction. If you need to remove the close date: Edit and gt; Preferences and gt; Accounting and gt; Company Preferences and gt; clear the Closing Date field and gt; save. You can restore it after making corrections.

METHOD 2Undo a Prior ReconciliationNeed to redo a completed reconciliation
1

Banking and gt; Reconcile and gt; select the bank account and gt; Locate Discrepancies and gt; Undo Last Reconciliation. QB undoes the most recent reconciliation only -- marking all previously cleared transactions as uncleared. To undo multiple periods: repeat the process working backwards. Note: undoing reconciliations in QB Online requires Admin access and affects the period's financial reports.

METHOD 3Remove Accountant's Copy RestrictionAccountant's Copy dividing date blocking edits
1

If the lock message references an Accountant's Copy dividing date: File and gt; Send Company File and gt; Accountant's Copy and gt; Client Activities and gt; Remove Restrictions. This lifts the dividing date restriction. Confirm with your accountant before removing -- any changes they made in the Accountant's Copy will need to be re-applied manually if not yet imported.
