How to Fix Sage 50 Year End Close Error
The year-end wizard stops partway, refuses to run, or reports that transactions exist outside the fiscal year. The close will not complete and you cannot open the new year.
At QuickFix Bookkeeping, the warning that matters more than any fix: closing the year in Sage 50 is permanent. You cannot reopen a closed year, and you cannot post to it. Take a backup you have actually verified before you run the wizard, because that backup is your only way back.
What Blocks a Year End Close
Other users logged in
The close requires exclusive single-user access. One person left open on a workstation is enough to stop it.
Unposted transactions
In batch posting mode, anything still unposted blocks the close until it is posted or removed.
Data integrity fault
Damage in the company file surfaces at year end because the close touches every record.
Payroll year mismatch
Payroll runs on the calendar year. Closing the fiscal year before W-2s are printed loses the data you need.
How to Fix a Failing Year End Close
METHOD 1Back Up, Then Get Exclusive AccessDo not skip the backup
1Take a backup and verify it. Go to File, then Back Up, and tick the option to verify the backup. An unverified backup is not a backup. The close cannot be undone, so this file is your only path back.
2Get everyone out. Every other user must close Sage 50 completely. Check the server too, since a session left open there blocks the close just as effectively.
3Confirm you are logged in as an administrator user. A restricted user cannot run the year-end wizard, and the message you get does not always say so.
METHOD 2Clear Unposted TransactionsBatch posting mode
1If you use batch posting, go to Tasks, then System, then Post and post every journal. The close cannot proceed while unposted entries exist.
2Then reconcile every bank account through the final period and print your year-end reports. Once the year is closed, the detail behind those reports is no longer accessible in the same way, so print them first.
METHOD 3Run Data Verification Before ClosingWizard stops partway
1If the wizard starts then fails mid-run, the company file almost certainly has damage. Go to Help, Support Utilities, Integrity Check and run both the Structure Check and the Data Integrity Check.
2Fix anything it reports before retrying the close. Never retry a failed close on a file that has known integrity errors, since a partial close on damaged data is far worse than a delayed one. See our data verification guide.
METHOD 4Close Payroll and Fiscal Years in the Right OrderThe costly mistake
1Payroll always runs on the calendar year, regardless of your fiscal year. Print and file all W-2s and 1099s before you close the payroll year.
2Sage 50 holds two open years at a time. If you are already in the second open year, the close is mandatory before you can enter transactions for a third. Plan the close, do not let it ambush you mid-January. Our Sage 50 1099 guide covers the forms side.
There Is No Undo
Unlike QuickBooks, where a closing date is just a password-protected setting you can lift, a Sage 50 year-end close is irreversible. If you discover an error in the closed year afterward, the only remedy is restoring the backup you took beforehand and redoing everything since. That is the whole reason Method 1 begins with a verified backup.
