How to Fix FreshBooks Payment Gateway Errors

FreshBooks online payments fail -- clients cannot pay invoices, or FreshBooks displays "Payment failed" or "Card declined" errors.

At QuickFix Bookkeeping, FreshBooks payment errors come from two sides: client-side issues (card declined, billing address mismatch, 3D Secure required) or FreshBooks Payments account issues (account not fully verified, payout account disconnected). The error message tells you which side the failure is on.

How to Fix FreshBooks Payment Gateway Errors

METHOD 1Check FreshBooks Payments Account StatusAccount setup or verification issue
1

Settings and gt; Payments and gt; FreshBooks Payments and gt; confirm the account status is Active. If showing "Verification required" or "Action needed": complete the requested identity or bank verification steps. FreshBooks uses Stripe as its payment processor -- Stripe requires identity verification before processing live payments.

2

Check payout bank account: confirm the bank account for receiving payouts is still connected and verified. A disconnected payout account can prevent new payments from processing.

METHOD 2Guide Client Through Payment FailureClient card or bank declining the charge
1

Ask the client to: (1) confirm the card number, expiry, and CVV are entered correctly. (2) Confirm the billing address matches what the bank has on file exactly. (3) Check with their bank -- some banks block international or online payments by default and require the client to authorise the payment type. (4) Try a different card or payment method (credit vs debit).

METHOD 3Connect Alternative Payment MethodFreshBooks Payments unavailable in your region
1

Settings and gt; Payments and gt; connect an alternative gateway such as Stripe, PayPal, or GoCardless directly. FreshBooks supports multiple payment gateways -- connecting one as a backup ensures clients always have a payment option even if FreshBooks Payments has an issue.
