How to Fix FreshBooks Report Error

A report shows numbers you do not recognise, comes back empty, or the profit and loss disagrees with what your bank account actually did.

At QuickFix Bookkeeping, the distinction that explains most of it: FreshBooks defaults to cash basis. Income appears when the invoice is paid, not when it is sent. If you have invoiced heavily and been paid slowly, your profit and loss will look far worse than your business actually did, and nothing is wrong.

What Causes This

Cash versus accrual

FreshBooks reports on cash basis by default. Unpaid invoices do not appear as income at all.

Uncategorised expenses

Expenses left uncategorised are excluded from the profit and loss, overstating your profit.

Date range wrong

The period selected does not cover what you think, especially around a year end.

Currency mixing

Multi-currency invoices convert at different rates, so totals will not tie to a single-currency expectation.

How to Fix It

At the top of the report, check the accounting method. Cash basis counts income when the client pays. Accrual counts it when you invoice.

A consulting business that invoices in March and gets paid in May shows zero income for March on a cash basis. That is correct behaviour, not a bug.

Switch the report to accrual to see what you actually earned in the period, and compare like with like when you are checking one report against another.

METHOD 2Categorise Your ExpensesProfit looks too high

Go to Expenses and filter for uncategorised entries. An uncategorised expense does not appear in your profit and loss, which makes your profit look better than it is.

Assign each one to the right category. If you are a sole proprietor, those categories should map to your Schedule C lines so your tax return builds itself.

Then re-run the report. This alone resolves most cases of a profit figure that felt implausibly good.

METHOD 3Reconcile the Report to Your BankNumbers do not match reality

Compare the report against your actual bank statement for the same period.

A gap usually means missing transactions, a bank connection that stopped importing, or expenses paid personally and never recorded in FreshBooks at all.

Check the bank connection is still live. A feed that silently stopped weeks ago leaves a hole in every report since.

Widen the date range dramatically as a test. If data appears, a filter or the date range was excluding everything. If it is still empty, try an incognito window to rule out a browser problem.

Cash Basis Hides Your Receivables

The real danger of cash-basis reporting is not that the numbers are wrong, it is that they are reassuring. A pile of unpaid invoices simply does not appear. Your profit and loss looks calm while your receivables quietly age. Run the accounts receivable ageing report alongside your profit and loss, every month, or you will not see the problem until it is a cash flow crisis.
