Send Email from QuickBooks Through a Gmail Account: Easy Steps

Connect Gmail to QuickBooks Desktop and send invoices, statements, and reports straight from the program, from an address your customers recognise rather than a generic Intuit sender.

At QuickFix Bookkeeping, the one setting that decides whether this works: Use Enhanced Security. Google stopped accepting a plain username and password from third-party apps. If that box is unticked, QuickBooks cannot authenticate with Gmail no matter how many times you retype the password. Enhanced Security switches QuickBooks to OAuth, which is what Google now requires.

What Causes This

Enhanced Security not ticked

Google no longer accepts a plain password from apps. Without this box, authentication simply fails.

2-step verification off

Enhanced Security requires 2-step verification enabled on the Google account first.

QuickBooks out of date

Older releases lack the OAuth handshake entirely, so Gmail cannot connect at all.

Antivirus blocking the port

Security software blocks port 587, so the connection times out with a vague network error.

How to Fix It

Sign in to your Google account and turn on 2-step verification. Enhanced Security in QuickBooks depends on it, and the connection will fail without it.

Update QuickBooks Desktop to the latest release. Go to Help, then Update QuickBooks Desktop, then Update Now. Older releases do not support the authorization flow Google requires, which is the reason many people conclude Gmail "no longer works" with QuickBooks.

In QuickBooks, go to Edit, Preferences, Send Forms.

On the My Preferences tab, select Web Mail, then Add.

Enter your Gmail address and choose Gmail as the provider. QuickBooks auto-fills the SMTP server details for you.

Tick Use Enhanced Security. This is the step everything depends on. Select OK.

You are prompted to sign in to your Intuit account, then your Gmail sign-in page appears. Sign in and select Allow to grant Intuit access. Select OK again to save the preferences.

Open any invoice or report and select Email, then Send.

A Webmail Authorization window appears. Select Continue, then Allow. This is normal on the first send after setup.

If you skip or cancel this authorization, QuickBooks cannot send and you will need to reconnect the Gmail account from scratch.

If emails suddenly stop with QuickBooks is unable to send emails due to network connection failure, your authorization has expired. Google periodically forces reauthorization.

Update to the latest QuickBooks release, then send any transaction. When the Webmail Authorization window appears, select Continue, then Allow. That reconnects it.

If it still fails, check your antivirus. Port 587 must be open for Gmail. In McAfee, add QBW32.exe to the Excluded Processes list.

Why Bother With Gmail At All

QuickBooks can send through its own email service with no setup, but those messages arrive from a generic Intuit sender and land in spam far more often. Connecting your own Gmail address means invoices arrive from a name your customer recognises, replies come back to you, and the whole thread lives in your sent items. It is the difference between an invoice being paid and an invoice never being seen.
